How to handle PO Approval through lotus notes?[Scanned]

Hi VJ,

You are on the correct path with SO50, but by the time client has
implemented all the necessary security protocols (at the very least your
mails should be digitally signed and verified, which is a separate project
for your lotus notes team) you're already at a significant cost. Add to that
the support cost of what is likely to be an error prone solution. I worked
on a project where they had a similar scenario using email responses into a
4.7 system and there was about a 90-95% success rate on mails, the rest had
to be manually processed because approvers didn't follow instructions or
added comments etc. No matter how often you explain it, in their minds they
are replying to a real person.

The other option is building a custom we-based approval with it's own
'userbase' and authentication. Not sure how that would be viewed by SAP, and
it's certainly not a small job either.

There are many different types of licenses, I'd suggest having a chat to
your SAP account manager as it could easily work out cheaper to go that
route...

Cheers,

Mike

Hi Mike,

Thanks for writing back. You are very correct. The client does not wish to
buy additional SAP licenses. We also raised the issue of Non-SOX complaint
with the customer but they don't have budget to buy additional licenses and
one of the other reason they don't wish to buy licenses is because there are
about 500 approvers for the PO who do not use SAP at all. So they don't want
to invest in licenses as most of the approvers won't be using SAP at all.

So what they are expecting is; these non SAP users( PO approvers ) get an
email in their lotus notes and they will approve it from within the lotus
notes.

As a last resort we are planning to implement inbound processing via SO50
transaction. But we have many challenges of handling the exception back and
forth via email and as you said any custom is just going to be messy one but
guess have no much choice.

Kind Regards,

VJ

Hi VJ,

Perhaps the lack of replies is because it sounds like an attempt to get
around licenses. What's wrong with just creating users? There are cheaper
licenses available for this type of user.

You can receive and process inbound emails, but any custom solution you
build is going to have a hard time with audits. Think about security & how
easy it is to forward mails or forge email addresses.

Cheers,
Mike

Hi Guys,

We are stuck up in a design issue and would like your valuable inputs on how
to handle this situation.

Problem statement:

We need to implement a PO approval workflow for one of our client. The users
who will be approving or rejecting the PO are not SAP users and hence do not
have a SAP user id. So we cannot send the work item to the users as they
don't have a sap user id.

My Question:

In this scenario how do we handle the approval flow? We can send the users
an email from the workflow as the email ids will be maintained in a Z table.
I mean email to the non sap users. But how do we physically approve or
reject the PO. Is there a way to get the signal back from the user via
email?

System:

Our client is on ECC 5.0 version.

Kind Regards,

VJ
