Use of HR infotype 105/10 for the email address is available in SWNADMIN, ,SWNCONFIG versions from 6.40 (SAP NetWeaver 04) onwards - not sure of exact details on how you set this up there but it is possible.

Prior to that your choices are:

1. Modify or copy RSWUWFML2 - replace the determination of the email address in the appropriate subroutine

2. Set up a process to update the user master email address from HR infotype 105/10 and set the default communication type to Email - there are BAPIs to both read infotype 105 (BAPI_EMPLCOMM_*?) and update the user master (BAPI_USER_* ?) available to help do this. RSWUWFML2 will then read the user's email address if you turn on the "Send to user's home address" setting in transactio SO16.

Personally I think option 2 is better as really it makes sense to do this anyway so that the email address is readily available to all SAP functions, transactions and applications, not just HR. I've spoken with HR consultants on this, and they often recommend/implement such a process anyway.

Hi Bala,

I´m not quite sure what´s your release.
Anyway, report RSWUWFML2(in most releases) is the tool to use if you want to send a notification to for example outlook.
You have to maintain a valid email-adress for every user who should receive this notifications.Have a look at the program documentation.
Apart from that there are some settings in the system that have to be made.

Please search the archives as explained at the wug-page:
http://mailman.mit.edu/mailman/listinfo/sap-wug
Search for example RSWUWFML2. There should be plenty of information as this has been a topic before.

Hopt to help.
