filter/group -- workflow inbox

Hi Hui, I'm on 4.0B, and here's how we've accomplished this.
 
To add the attributes to your workflow inbox, First, you'll have to copy the
protected WORKFLOW configuration into another one (you can use the same name
- say yes to the overwrite prompt - it actually does not overwrite it, it
creates a second config of the same name).  Then modify the new workflow
configuration to add the attributes you want.  Then you can turn off the
standard workflow config, and turn on the new workflow config.
 
To do this...
Go to transaction SINA, select 'inbox', then Select the "Workflow"
configuration (make sure to double click to select - check your window title
for the right config name!)and copy this to a second configuration also
called workflow.  Then, into the new config... Add the wanted attributes to
the 'Column Selection' section (make sure to adjust your column width
accordingly in that same screen).   Once you have modified this
configuration, save it and return to the inbox config screen.  Deactivate
the standard workflow config button and activate the new one.  You may have
to move your buttons around to position the 'new' workflow button at the
same location as the previous one.  This will provide all your users with a
new & improved workflow button.  You can also specify different filters and
groupings, but be carefull as these all cause additional "access time".
 
If you are using many virtual attibutes, these will be derived everytime
users go into that inbox configuration, if the volume of workitems is high,
this will greatly increase the amount of time required to access the inbox
(every attribute being derived for each workitem, everytime you go into that
inbox).  In our environment, some of our users have anywhere between 1K to
8K items in their inbox, the access time varies between 10 - 20 minutes, but
once in the inbox, the use of the refresh button makes updating the
workitems pretty quick.

Now I could define dynamic columns for my workflow inbox and set up a filter
under my personal configuration. How could I do the same thing for my 100+
users? Is there a global configuration I could define and then deploy to all
my
users, instead of training my users on how to do this by themselves?

Hi Hui,
you can define up to 6 attributes per workflow which you can then use for
filtering / grouping. You can access all attributes from the workflow
container.
The definition is made via transaction 'SWDA' and has to be done separately
for each workflow definition.
Use F4-Key in the field 'Expression' to get a list of all available
attributes in the workflow container.
