Dear Student Group Leaders,

Please read the following announcements carefully:

  *   Groups Applications
  *   Fall GBM Date

Event Registration

Please be aware of new tools and guidelines for event registration.

To register an event considered large or complex (50+ attendees, alcohol, non-CovidPass, K-12 attendees), please use the event registration form found at <https://atlas.mit.edu>. If your event is not large or complex, or you wish to use the event attendance features on Engage, please register your event through the Engage form. Reminder that room reservations are handled separately.

All indoor events are required to use the TimTickets system to conduct contact tracing. For more information, see <http://covidapps.mit.edu/visitors>. Please register your events here for contact tracing purposes once you have completed event registration with Engage or Atlas.

In-person events with K-12 students, regardless of age, continue to be prohibited for ASA groups per SOLE guidance. Any programming involving K-12 students must be virtual.

Groups Applications

New Group Applications for Fall 2021 close on 10/15/21!

If you are interested in starting a new group, the ASA is currently accepting applications to be reviewed at the start of the new semester. The deadline for submission is October 15th, 2021 at 11:59 PM. The application can be found here: <https://asa.mit.edu/start-group/new-group-application>.

Please note that applications may take several weeks before being reviewed depending on the volume of submissions. If you have any questions about the group you would like to start or the application process, make sure that you have read all of the information on the group application process <http://asa.mit.edu/start-group>, guidelines on what privileges ASA groups receive <https://asa.mit.edu/group-privileges>, and then email <asa-groups at mit.edu> with any further questions.

Fall GBM Date

Our fall General Body Meeting will be the evening of October 25th from 5:00-7:00 PM, and is planned to be in-person. We will send out an agenda including any documents to review before the meeting at least one week before that date.

The same rules apply as for a normal GBM: FSILGs, graduate dorms, and club sports may attend if they wish to but are not required to do so. ASA groups are still required to send one member per group, but you may represent as many groups as you like, and each attendee can only exercise one vote.

Please feel free to email <asa-exec at mit.edu> with any requests, questions, or other inquiries.

Sincerely,

The ASA Executive Board
