Dear Student Group Leaders,

Please take note of the following announcements:

-> ASA General Body Meeting (4/6/20)

-> Spring LEF/ARCADE Applications are OPEN (Due 3/4/2020)

-> New Group Applications for Spring 2020 close on 2/28/20!

REQUIRED ATTENDANCE: ASA General Body Meeting (4/6/20)

This is an announcement that the Spring General Body Meeting will be held on Monday, April 6th from 5-7 PM (room TBA). Please arrive promptly so we can start on time to get through the agenda as efficiently as possible. Every ASA group is required to send a representative.

FSILGs, graduate dorms, and club sports may attend if they wish to but are not required to do so. Groups that do not send a representative will incur a fine and may be suspended or de-recognized if the group has repeatedly missed GBMs. Dinner will be served.

Any member may check in for a group, and a member may check in for more than one group. However, only students listed as president, treasurer, group admin, or GBM proxy in the group's Engage database entry (engage.mit.edu) may exercise the group's vote. Furthermore, no one may exercise the vote of more than one group, and each group has only one vote even if they send multiple representatives. We recognize some groups will inevitably have conflicts: please do your best to send a representative, and email the ASA ahead of time to discuss make-ups.

The agenda and room location will be sent out no later than one week before the meeting. Elections for ASA chairs will occur during this GBM: please contact the ASA if you’re interested in running for a position! If you have any topics pertaining to student group activities on campus you would like to suggest be addressed at the meeting, submit your questions, comments, or concerns using this form: <https://engage.mit.edu/submitter/form/start/389470>.

Spring LEF/ARCADE Applications are OPEN (Due 3/4/2020)

The deadline to submit applications to the Large Event Fund (LEF) and the Assisting Recurring Cultural And Diversity Events (ARCADE) Fund Winter Cycle is Wednesday, March 4th at 11:59PM EST. This deadline is for events occurring between April 1, 2020 and June 30, 2020.

Please use this link to apply: <https://engage.mit.edu/submitter/form/start/388604>. Do NOT use the old form (that operated through the old ASA webpage.) We will ONLY be processing applications submitted through the Engage form linked above.

More information about eligibility for these funds is available at the new ASA website: <http://asa.mit.edu/group-resources/funding-large-events>.

You are encouraged to meet with someone from the Student Activities Office to discuss your application, particularly if it is for a new event or you are making substantial changes to a recurring event. You MUST meet with the Student Activities Office to discuss an event if it will involve paying a speaker or performer. Email <sao-desk at mit.edu> with any questions!

New Group Applications for Spring 2020 close on 2/28/20!

If you are interested in starting a new group, the ASA is currently accepting applications to be reviewed at the start of the new semester. The deadline for submission is February 28th, 2020 at 11:59 PM. The application can be found here: <https://asa.mit.edu/start-group/new-group-application>.

Please note that applications may take several weeks before being reviewed depending on the volume of submissions. If you have any questions about the group you would like to start or the application process, make sure that you have read all of the information on the group application process (http://asa.mit.edu/start-group), guidelines on what privileges ASA groups receive (https://asa.mit.edu/group-privileges), and then email asa-groups at mit.edu with any further questions.

As always, if you have any questions or concerns, please email us at <asa-exec at mit.edu>.
