Dear Student Group Leaders,


Please take note of the following announcements:

(1) REQUIRED ATTENDANCE: ASA General Body Meeting (10/23/2019)


This is an reminder that the Fall General Body Meeting will be held on Wednesday, October 23rd from 5-7 PM in room 34-101. Please arrive promptly so we can complete check-in's and start on time to get through the agenda as efficiently as possible. Every student group is required to send a representative, with the exception of individual FSILGs, graduate dorms, and club sports; those groups' governance groups may attend if they wish to but are not required to do so. Groups that do not send a representative will incur a fine and may be suspended or de-recognized if the group has repeatedly missed GBMs. Dinner will be served.


Any member may check in for a group, and a member may check in for more than one group. However, only students listed as president, treasurer, group admin, or GBM proxy in the group's ASA Database entry (engage.mit.edu) may exercise the group's vote. Furthermore, no one may exercise the vote of more than one group, and each group has only one vote even if they send multiple representatives.


Please make sure to designate a GBM proxy in the Engage database prior to the GBM if you do not expect a President, Treasurer, or Group Admin to be present at the meeting.

The agenda for the upcoming GBM is as follows:

2. Intro from ASA President: ASA logistics & upcoming plans

3. Updates from ASA Chairs: Treasurer, Space, Groups

4. Discussion of proposed operating guidelines changes:

These are NOT what were presented at the Spring 2018 GBM. We have annotated the document with proposed changes and the original text, as well as explanations and/or elaborations on selected changes that have been seen by and workshopped with the GSC and UA. Note that none of this is final; the document will go through another round of edits after collecting feedback from the GBM, and then must receive approval from the UA and GSC before implementation. We will address any major or recurring concerns or any policies that we would like more student group input on at the GBM (minor tweaks like wording will most likely not be discussed at the GBM for the sake of time and because those are quick fixes.)
