Dear Student Group Leaders,

Please take note of the following announcements:

(1) ASA General Body Meeting (10/23/2019)

(2) 2019 MIT Student Organization Handbook

----------------------------------------------

(1) REQUIRED ATTENDANCE: ASA General Body Meeting (10/23/2019)

This is an announcement that the Fall General Body Meeting will be held on Wednesday, October 23rd from 5-7 PM (room TBA). Please arrive promptly so we can complete check-in's and start on time to get through the agenda as efficiently as possible. Every student group is required to send a representative, with the exception of individual FSILGs, graduate dorms, and club sports; those groups' governance groups may attend if they wish to but are not required to do so. Groups that do not send a representative will incur a fine and may be suspended or de-recognized if the group has repeatedly missed GBMs. Dinner will be served.

Any member may check in for a group, and a member may check in for more than one group. However, only students listed as president, treasurer, group admin, or GBM proxy in the group's ASA Database entry (engage.mit.edu) may exercise the group's vote. Furthermore, no one may exercise the vote of more than one group, and each group has only one vote even if they send multiple representatives.

Please make sure to designate a GBM proxy in the Database prior to the GBM if you do not expect a President, Treasurer, or Group Admin to be present at the meeting.

The agenda and room location will be sent out no later than one week before the meeting. If you have any topics pertaining to student group activities on campus you would like to suggest be addressed at the meeting, please submit your questions, comments, or concerns using this form: <https://engage.mit.edu/submitter/form/start/349706>.

(2) 2019 MIT Student Organization Handbook

The following is a message from the Student Activities Office:

The Student Organization Handbook has been updated for 2019.

Based on student leader feedback, this update focused on four main areas:

1. Increased Readability - The updated handbook now has searchable text, as well as a clickable "Table of Contents" - all to assist you in locating relevant information.

2. "One Stop Shop" - Student leaders have provided feedback that the range of guidelines at MIT are spread out across numerous websites, and are thus difficult to locate. In order to rectify this, the 2019 Student Organization Handbook has consolidated this information all in one document.

3. Updated Guidelines - The 2019 Handbook includes all relevant and up-to-date guidelines and/or institute policies for student organization practices.

4. General Housekeeping - Dead links have been removed/updated, and additional resources have been included as well.

The 2019 MIT Student Organization Handbook can be found here: https://studentlife.mit.edu/sites/default/files/Documents/Student%20Organization%20Handbook%20-%202019.pdf

----------------------------------------------

As always, if you have any questions or concerns, please email us at <asa-exec at mit.edu<mailto:asa-exec at mit.edu>>.

Sincerely,

The ASA Executive Board
