[ASA-Official] CPW Application, GBM April 2nd, EHS Walkthrough, Spring LEF/ARCADE Applications

Dear Student Group Leaders,

Please take note of the following announcements:

1. CPW Midway Booth Application is OPEN! (Due 3/22/2019)
2. General Body Meeting April 2nd, 6-7:30 PM
3. EHS Walkthrough March 12th/13th
4. Spring LEF/ARCADE Applications are OPEN! (Due 3/8/2019)

(1) CPW Midway Booth Application is OPEN! (Due 3/22/2019)

This year’s CPW Midway is April 13th from 1-3 PM at the Johnson Ice Rink. The application to reserve a booth for your student group is now open here: <https://engage.mit.edu/submitter/form/start/253253>.

The deadline to submit a booth application is Friday, March 22nd at 11:59 PM EST.

(2) General Body Meeting April 2nd, 6-7:30 PM

Reserve your calendar now: the spring ASA General Body Meeting will be Tuesday, April 2nd from 6-7:30 PM. (Location TBA)

Please arrive by 5:50pm so we can complete check-ins and start on time. Every student group is required to send a representative, with the exception of individual FSILGs, graduate dorms, and club sports; those groups’ governance groups must still attend. Groups that do not send a representative will incur a $50 fine and may be suspended or de-recognized if the group has repeatedly missed GBMs. Dinner will be served.

Inevitably, there will be conflicts for some people; remember that any member of your group can attend the GBM as long as they have the ‘GBM Proxy’ status on Engage! (Visit your roster to update roles.) Any member may check in for a group, and a member may check in for more than one group. However, only students listed as president, treasurer, group admin, or GBM proxy in the group's ASA Database entry may exercise the group's vote. Furthermore, nobody may exercise the vote of more than one group, and each group has only one vote even if they send multiple representatives.

We will be electing new ASA executive board members at the meeting!

Please come to the GBM if you intend on running for a position or if you have questions about what each of the positions entail. (Bring any friends who are interested in joining the board as well!) (3) EHS Walkthrough March 12th/13th

The yearly EHS walkthrough of student group spaces will take place on March 12th for groups that have space in the NE Buildings and Building 50, and on March 13th for W11 and W20. Representatives from CAC, EHS, SAO, and the ASA will be present for every walkthrough.

(4) Spring LEF/ARCADE Applications are OPEN! (Due 3/8/2019)

The deadline to submit applications to the Large Event Fund (LEF) and the Assisting Recurring Cultural And Diversity Events (ARCADE) Fund Spring Cycle is Friday, March 8th at 11:59PM EST. This deadline is for events occurring between April 1, 2019 and June 30, 2019.

You are encouraged to meet with someone from the Student Activities Office to discuss your application, particularly if it is for a new event or you are making substantial changes to a recurring event. Check your posters! Lots of groups have postering space but aren’t currently using it. If you think you have poster space, remember to put something up there to keep the hallways beautiful!
