Workflow with Portals

Thanks Jocelyn,

It sounds like we will have to revert to using the SAP Office In-Box rather
than SAP Transactions directly through shortcuts to continue using the
Workflow functionality currently setup? I am meeting with the Portals team
today and will discuss the useful points you have made below

Hi Lynda,
Another effective strategy with portals is to use email notification as
normal
to notify users that they have work items to process and include a hyperlink
in the email notification to the portals logon page.  If you put the inbox
somewhere clearly and easily accessible in their portal pages then that
helps
users process items quickly.  (For best performance during logon, you may
find it better to put
the inbox at the top of the second page rather than on the welcome page.)

You have the option of using the universal worklist iview with portals which
is quite effective - but it does limit the workflow functions that are
easily available so check that everything
you want your users to do is readily available.

You might want to consider swapping to collective email notification - you
can still
tailor this per task e.g. you have requisitions to release - and this cuts
down on the
SPAM mail.

If you still need to take them to a transaction - consider taking them to
the inbox transaction
to encourage them to process all outstanding items in their inbox.

Hi All,

We have recently developed Workflow in a number of Application areas in
Version 4.5B. However, we are currently developing Portals and the
Single-sign on concept. Currently, our MM Workflow is synchronised with MS
Outlook so that users can Execute the Work Items from the E-mail using a
shortcut.
With the introduction of Portals - users will now be encouraged not to use
shortcuts but to access SAP from the Portal screen only.

My concern is that with the shortcut - you can be taken directly to the
transaction and directly to the Purchase Order which requires processing.
>From the demonstrations I have seen of Portals - you can be taken to the
transaction only - not the document which requires processing. Does anyone
have
experience of Workflow and Portals? There does not seem to be many notes on
this area

A very simple question :

What are the various programs that need to be scheduled/run on a periodic
basis to reorganise the large amount of work item data that would be sitting
in the R/3 database ? Basically, I want to delete old workitems and create
some space in the database ? Any cons and pros that one needs to keep in
mind in the above process ?

We are on R/3 version 4.7 and EBP 3.5.
