Hi HCA folks!
I hope everyone had a great winter break! It's been a while! Our next
HCA meeting will be Monday, 2/8, at 5:30 in the GSC Office (50-220).
There'll be pasta! I'll send out an email with the agenda later. Let me
know if you have something you want on it.
Also, please send me any slides you'd like me to have for the GCM this
Wednesday (tomorrow) by noon tomorrow!
Finally, I've included below a draft of what the proposal may look like
to instate a seniority point transfer system between dorms drafted by Wen.
Please take a look and email Wen and us if you have any suggestions or
concerns! We will formally discuss the proposal during the meeting next
Monday.
Looking forward to seeing everyone soon!

Dear all,
Hope all of you had a good IAP! Jerry, Edgerton co-President, and I met
during Winter School last week and we had the opportunity to discuss the
benefits of having a *mechanism for transferring officer seniority
(service) points* among the graduate dorms. As you may be aware, there is
currently no mechanism for residents who have served one or two years in
the house government of one graduate dorm to *transfer to another dorm,
while retaining his or her seniority points*. I understand that each
graduate dorm has its own system of awarding seniority points based on
service to their respective community, and from what I understand, it is
common for residents who have served satisfactorily for two years in the
house government of each dorm to be recommended for continuing status in
their respective dorms.
In view of the above, I would like to propose the following:
1. To set up a mechanism for recognizing the service of residents who have
previously served in their respective house government, when transferring
between graduate dorms.
2. The recognition of past service for each transfer applicant will be
considered on a *case-by-case basis at the discretion of the student
leadership and/or housemasters* of the dorm receiving the application.
3. The general rule of thumb is for each resident to have completed two
year of satisfactory service before being recommended for continuing
status, that is:
a) If a resident has completed one year of satisfactory service before the
transfer, he or she is expected to serve satisfactorily for another year in
the new dorm before being recommended for continuing status.
b) If a resident has completed two years of satisfactory service before the
transfer, he or she can be recommended for continuing status once the
transfer is completed, again at the discretion of the student leadership
and/or housemasters of the new dorm. Having demonstrated leadership and
competency in his or her previous officer position, the successful
applicant is expected to continue to contribute to student life in the new
dorm. This should help encourage the sharing of best practices among the
graduate dorms.
4. Since the application will be considered on a case-by-case basis and
that there will probably be no more than several applications per dorm in a
given year, it would be desirable to keep the application process simple.
It is envisioned that each application should be submitted *via* email to
the student leadership and/or housemasters of the dorm he or she is
applying to. The application should include a CV highlighting past service
and contribution to the house government, and if desired, a letter of
recommendation from the applicant’s current housemasters.
I am proposing this because I feel strongly for the many members of our
community who have stepped up and contributed significantly to not only our
respective graduate community, but also to the wider MIT community through
various events and initiatives that are open to all. I see this proposal as
a mean for recognizing their efforts and contributions. I understand that
most of the graduate dorms will be holding their house elections soon and
it would be a shame if we don’t take this opportunity now to consider the
proposal. I understand that there might be concerns regarding this
proposal, and I would pleased to address any concerns through email or in
person. Please let me know if there’s anything I can be helpful in.
Many thanks in advance for your help and I look forward to hearing from all
of you.
Kind regards,
Wen Jie Ong
