[Dspace-general] Policy questions adding a content page to the source file and

Hi all,
We at NTU are working out some policy issues and would like some feed back as to whether Universities are doing similar things or if there are any other suggestions on ways to do it better;
1. When you submit items do you put a cover sheet inside the source file to explain the file is for example a preprint - or put any kind of citation information to help user later cite the item correctly.(We know you can put this into the metadata as citation) but we are worried that the user will forget where they got the item and will not be able to cite it properly. Especially once they download the item and go off to other things.
2. Do you have a hard time getting the faculty to give you the correct version of the file that you need for depositing either the accepted version or the published? (depending on the copyright for the item)
We will be relying quite a bit on the faculty sending the correct version - are other universities running into the same issues?
