Dear Student Group Leaders,

Please take note of the following announcements:

(1) Postering Allocations for 2017-2019

(2) Due Today: Annual Required Membership Confirmation and Anti-Hazing Form
Signing (due 4/21/2017 TONIGHT)

(1) The allocation of private bulletin boards for the next cycle was made,
and you can view it here <
http://web.mit.edu/asa/resources/bulletin-boards-2017-2018.pdf>. The next
poster cycle starts on 4/22/2017, and ends on no earlier than 12/31/2018.

If your group is assigned to the same location as in the previous cycle,
you do not need to take any action to move your poster. However, if your
group is assigned to a different location, or if your group is not
allocated with a poster board, you must remove your poster by 4/28/2017
(Note that the deadline is extended by a week due to the short notice).
Otherwise, the ASA will remove them within a week. Posters that are removed
by ASA will be kept in UA office for two weeks and then they will be thrown
away. (Note that this will be the first time in 2017 that ASA takes action
to remove posters. All previous poster removal was done by unknown
personnel.) You can put your poster on the new location on 4/29/2017. You
must put up a poster if your group receives a spot, and failing to do so
will result in the loss of poster board allocation if it is not up by
5/6/2017.

There are some unassigned bulletin boards. If you would still like to apply
for one, please fill out the waitlist application <

We will notify your group if we can assign a spot to your group.

If your group is holding onto locked glass case keys but no longer has a
poster spot, you must return the keys to the ASA. If your group receives a
locked glass case spot, please also contact the ASA to arrange for setup
and key distribution.

Please contact <asa-postering at mit.edu> for locked glass case keys, poster
board assignment appeals, and other related questions.

(2) Due Today: Annual Required Membership Confirmation and Anti-Hazing Form
Signing (due 4/21/2017)

Reminder: it is now time for the ASA’s annual update process. We use this
to verify groups are active and have enough members. By Massachusetts State
Law, every group is required to attest to having distributed a copy of the
Massachusetts hazing law to its members. We also ask that groups reaffirm
that they do not discriminate.

Each ASA-recognized student group must have an officer listed in the ASA
database complete the form at https://asa.mit.edu/membership/update/
<https://asa.mit.edu:444/membership/update/>.

Each group also must have at least five MIT student members confirm
membership by filling out the form at
<https://asa.mit.edu:444/membership/confirm/>
https://asa.mit.edu/membership/confirm/.

One you have completed the anti-hazing form and have begun submitting
membership updates, you can check your group's status at
https://asa.mit.edu:444/membership/submitted/

Each group should submit these forms by Friday, April 21 at 11:59PM EDT.
Late submissions will be penalized with fines (up to $150) and eventually
suspended and/or derecognized if the submission is not completed. Groups
that have been newly recognized THIS 2016-2017 ACADEMIC YEAR (ie. the Fall
or Spring semester) do NOT need to complete this process.
