Dear Student Group Leaders,


Please take note of the following announcements:

(1) REQUIRED ATTENDANCE: GENERAL BODY MEETING (3/23/17)


This is an announcement that the fall General Body Meeting will be held on
Thursday, March 23rd in room 32-123. Please arrive by 5:10pm so we can
complete check-in’s and start on time. Every student group is required to
send a representative, with the exception of individual FSILGs, graduate
dorms, and club sports; those groups’ governance groups must still attend.
Because this is short-notice, groups that do not send a representative will
incur a $25, and not $50, fine, and may be suspended or de-recognized if
the group has repeatedly missed GBMs. Dinner will be served.


Any member may check in for a group, and a member may check in for more
than one group. However, only students listed as president, treasurer,
group admin, or GBM proxy in the group's ASA Database entry may exercise
the group's vote. Furthermore, nobody may exercise the vote of more than
one group, and each group has only one vote even if they send multiple
representatives.


All GBM proxies from previous GBMs have been cleared, so if you would like
someone other than your President, Treasurer, or Group Admin to vote, you
must re-designate them in the Database.

(2) 2017-2019 ASA Private Bulletin Board Cycle (due 4/7/2017)


The application for ASA Private Bulletin Board 2017-2019 Cycle is open. Any
recognized student group (excluding FSILG1) can apply for one exclusive
poster spot to display the group’s advertising material. The application
link is here <

All groups must re-apply, even if they previously had an allocated space.


The deadline to apply is Friday, April 7th 11:59 PM. After the deadline,
the previous poster allocation cycle (2015-2017) ends, and if your group
was previously assigned a poster spot, you must take down your poster by
Thursday, April 20th 11:59 PM if you want to keep the poster. On Friday,
April 21st, the final allocation for the 2017-2019 cycle will be announced,
and any items left on the bulletin boards will be thrown away by the ASA
Executive Board. Groups receiving an allocation for the new cycle can put
up their posters on Saturday, April 22nd.


If your group receives a spot, you must utilize it by putting up your
group’s advertising material and maintain it regularly.  This includes
removing any third-party material covering your spot. If your group is
found underutilizing your poster spot for an extensive period of time, the
ASA may revoke your group’s allocation, and this will negatively impact
your group’s chances of receiving an allocation in future cycles.


If your group receives a spot behind a locked, glass case, please contact
asa-postering at mit.edu to arrange a time for us to install your poster, or
you can visit the UA office right before or after ASA’s weekly meeting on
Fridays 3-4 PM and hand your poster to the ASA Postering Chair.


1: FSILGs are represented by the Interfraternity Council, the Panhellenic
Association, and the Living Group Council. A poster spot is reserved for
each of these three governing organizations. If you are from a FSILG,
please negotiate with the corresponding governing organization about your
living group’s representation on their advertising material.

(3) CPW Activities Midway Application Reminder (due 3/25/2017)


The CPW Activities Midway will take place in Johnson Ice Rink from 1-3PM on
Saturday, April 8, 2017.

In order to apply for a booth at the CPW Activities Midway, please complete
the application at <

You will not receive a confirmation email since this is a google form.
Applications are due on Saturday, March 25th at 11:59 PM EDT. Please fill
this out as soon as possible.
