   Event Registration Deadline: February 20th at 11:59 PM

   Event Cancellation or Edit Deadline: February 27th at 11:59 PM

EVENT FINALIZATION PROTOCOL:

   1.

   Register your event at the CPW Community website above. If your location
   has not been finalized, you may enter your ideal location or leave the
   space blank. You will be able to update your event form until February 27
   th if your location changes.
   2.

   Your event will be evaluated by a committee that includes DSL, Safety,
   Legal, and Admissions. If we require modifications or additional details,
   you will be contacted directly by one of the committee members.
   3.

   You must also request space for your event ASAP, ideally immediately
   after you submit your event form to Admissions. If you plan to use CAC
   space please see the section immediately below.
   4.

   Your event will not be published in the CPW Booklet until it has been
   approved by Admissions AND your location has been confirmed.

5.       If your event meets certain requirements (over 100 people, certain
live performances) you may need to complete Institute Event Registration.

CAC SPACE RESERVATION:


   -

   For the first time, CAC CPW space requests through EMS will go live at
   the same time as the event form.
   -

   If you have a virtual scheduling account, use the CPW CAC room request.
   All CAC space has been subsumed temporarily under a building called CPW.
   -

   Your space request must be approved by BOTH Admissions AND CAC.
   -

   If you do not have an account, you will need to go to W20-500 to create
   one. Office hours are Monday through Friday from 9:00 am to 5:00 pm.
   -

   If you do not remember your password, you will need to go to W20-500 to
   reset it.
   -

SPECIAL CONSIDERATIONS:

   -

   Safety plans: Events that include activities like power tools, fire,
   building, etc. will require a Safety Plan for approval. If this includes
   your event, please fill out the Safety Plan form found here <

   and mail it to safe-project at mit.edu ASAP. Events that require a safety
   plan will not be approved or published until one is in place.

   BBQ: If you will be grilling/barbecuing, you must follow specific

   -

   Language and content: Please note, parents and younger siblings will be
   accompanying many of the PreFrosh. While we do not wish to restrict your
   freedom of expression, we do wish to provide a welcoming experience for all
   CPW attendees. Any events containing references to drugs, alcohol, slurs,
   or other offensive materials will not be approved.

(2) ASA Off-Campus Space Pilot


Firstly, the ASA would like to announce that all remaining open spaces have
been allocated. Please verify if you have a space here

Secondly, the ASA, jointly with CAC, is excited to announce a very special
opportunity. For MIT funded groups that still need space, regardless of
whether you have already been assigned a space or not, we will be launching
a pilot program for off-campus storage. For example, if your group is
interested in storing items that do not get used frequently (once or twice
a semester), or are too big to fit in a locker, you might consider this
opportunity. Please fill in this
