Please take note of the following announcements:

(1) Group Examination Process


Over the past several months, the ASA has manually checked each
group’s database entry (at asa.mit.edu) for completeness and accuracy.
The ASA requires most of the information in the database to be as
up-to-date as possible, while only suggesting other information to be
updated.

Within the next few weeks, the ASA will be contacting each group
individually with information that is required to be updated, and
suggestions for updates. If the requirements are not met within a
certain amount of time, fines, suspension, or de-recognition may be
imposed on the group.

(2) LEF/ARCADE Deadline

The deadline to submit applications to the Large Event Fund (LEF) and
the Assisting Recurring Cultural And Diversity Events (ARCADE) fund is
Thursday, February 28 at 11:59 pm. This deadline is for events
occurring between April 1, 2013 and June 30, 2013. The application and
more information about the funds are available online:

You are encouraged to meet with someone from the Student Activities
Office to discuss your application, particularly if it is for a new
event or you are making substantial changes to your event.  You MUST
meet with the Student Activities Office to discuss an event if it will
involve paying a speaker or performer.  You can contact Alana Hamlett,
<ahamlett at mit.edu>, and Joel Pettigrew, <joelp at mit.edu>, about
scheduling an appointment.

You are also strongly encouraged to meet with the LEF/ARCADE board
members before submitting your application by scheduling an
appointment with us (contact the ASA Treasurer,
<asa-treasurer at mit.edu>) or by visiting our office hours.  Please
check our online calendar,

office hours, as well as general ASA office hours.

(3) Spring General Body Meeting and Elections

The Spring ASA General Body Meeting (GBM) is tentatively scheduled for
the week of March 18, 2013. Elections for the 2013-2014 ASA Executive
Board will take place at this GBM. Note that each ASA-recognized
group, with the exception of individual living groups and club sports
recognized by the CSC, is required to send a representative to each
GBM. Groups that do not send a representative will be fined.
(However, ASA-recognized living groups and club sports are eligible to
vote if they do send a representative.)

The exact date of the GBM, as well as more information on elections,
will be announced soon in an email to this list, including more
information about getting involved with the ASA. We encourage everyone
interested in running for a position to contact us at
<asa-elect at mit.edu>, and we will be holding special elections office
hours as the GBM approaches.

The Student Activities Office has set up a series of workshops to help
your student group succeed, as well as personal development. More
