Dear Student Group Leaders,

Please take note of the following announcements:

(1) Boards Allocations Released
(2) Group Recognition Spring Cycle (2/15/13)
(3) Required Treasurer’s Training
(4) Public Postering Rules Update
(5) ASA Office Hours

---------------------------------------

(1) Board Allocations Released

The bulletin board allocations for 2013-2014 have been released. All
groups which submitted an application should have received an email;
if you did not, please let us know soon at asa-boards at mit.edu.

All groups with boards should have received an email with
instructions. To recap, all groups which currently have a board, and
are not keeping that same exact board, must have their materials
removed by February 6th at 11:59 pm. All empty board spaces will have
their number and assigned group posted early on the 7th. Groups which
are moving to a new board space may start moving in on the 7th. All
boards must be filled by the 15th at 11:59 pm.

You should ensure that your bulletin board (either new or continuing)
complies with all of the rules posted on our website at:
http://web.mit.edu/asa/resources/bulletin-board-alloc.html

---------------------------------------

(2) Group Recognition Spring Cycle Deadline 2/15/13

The next group recognition cycle is February 15, 2013 at 11:59PM EST.
Those who are interested in applying for a new student group should
apply at http://web.mit.edu/asa/start/index.html.

If you have any questions, please contact asa-groups at mit.edu.

---------------------------------------

(3) Required Treasurer’s Training

SAO Financial Signatory Training is strongly recommended for financial
signatories for all groups. Furthermore, groups that apply for
funding from the UA or GSC funding board must have at least their
President or Treasurer attend an SAO Financial Signatory Training.

During the first few weeks of February, the Student Activities Office
will be providing financial trainings for signatories of student
groups. As the financial processes at MIT can be complicated, it is
essential that at least one representative (e.g., your Treasurer) be
knowledgeable of this process. Therefore, we STRONGLY RECOMMEND
attendance at one of the upcoming financial training sessions. Please
visit the SAO website
(http://studentlife.mit.edu/sao/finance/training) for additional
information.

The trainings are from 6-7pm on February 4, 20, and 21, 2013 in 3-133,
and on February 12 in 56-114.

For any questions, please contact Colin Codner (cmcodner at mit.edu) in
the Student Activities Office.

---------------------------------------

(4) Public Postering Rules Update

Facilities has clarified that classroom boards may not be used for
advertising (e.g., no chalking on blackboards). Groups may be fined by
Facilities for doing so.

For more information, please contact Facilities directly at:
http://web.mit.edu/facilities/about/tel.html

---------------------------------------

(5) ASA Office Hours

As a quick reminder, the ASA Executive Board holds weekly office hours
to answer any questions and respond to comments that students and
student groups may have regarding the ASA’s operations.

For the offices hours, please see:
http://web.mit.edu/asa/about/office-hours.html

---------------------------------------

Please feel free to email asa-exec at mit.edu with any requests,
questions, or other inquiries.

Sincerely,
The ASA Executive Board
