[2023 UA Elections] How to Run

Hello undergraduate students,
It is officially the beginning of the UA election season! Elections for Undergraduate Association President and Vice President and Class Council positions will be beginning soon. If you are interested in running for any office position, please read the following email in its entirety as it contains important information regarding the process:
The UA Election Code
The UA Election Code<https://static1.squarespace.com/static/564142efe4b09d10c39f8a8f/t/61d61e3fed235e1063f72664/1641422399803/Election_Code_.pdf> lists both the policies and procedures that govern the elections for undergraduates. Consult this document first if you have any questions regarding the election process, and if you have further questions or need extra clarification, then reach out to ua-elect at mit.edu.
UA President and Vice President
Information regarding these positions may be found within the attached document named, "UA President and Vice President Info."
Class Council Positions
The open positions for this term are President, Vice President, Secretary, Treasurer, Publicity Chair, and Social Chair. More information regarding the roles of the positions in more detail can be found within the attached document called, "Class Council Info."
Schedule of election events
The attached schedule lists the general timeline of the election period as well as specific deadlines that are to be followed. Review the schedule in its entirety to ensure that all deadlines are met.
Petition Packets
In order to be a viable candidate for this election season, you must submit your petition packet in a single PDF file with a PNG attachment of your headshot by Saturday, March 18 to ua-elect at mit.edu.
Petition packets must include each of the following in this order. If materials are missing, you will not be included on the ballot this election season:
1. Cover sheet
2. Proof of registration as an undergraduate
3. Signed statement of candidacy
4. Candidacy platform
5. Budget
6. List of signatures for the petition
Below is an explanation on how each petition packet material should be presented:
* Cover sheet: One page with your full name, email, phone number, and “Candidate for _____” filled in with the position you are running for and for which class.
* Proof of registration as an undergraduate: You can obtain this at the Student Services Center (11-120).
* Signed statement of candidacy: See an attached copy of the statement of candidacy. Please read in its entirety and, if you desire to run, include a signed copy.
* Budget: The Election Commission grants each candidate, according to the following:
* UA President/Vice President: $250
* Spring Class Council: $100
* Incumbents running unopposed: $25
* Candidates running jointly for the same position or for UA President/Vice President will receive the amount designated above and will not receive an amount per person. Only official, and not write-in, candidates will receive funding. Candidates reserve the right to ask the Election Commission to increase their budget. The Election Commission will consider this request if received no later than Thursday, March 16. Make a copy of the attached budget document<https://docs.google.com/spreadsheets/d/1R-wYDryNCgnrhcOkJNQXTqYjFNbuiDhahfPLWvqtd4A/edit?usp=sharing> and export as PDF for inclusion in the packet materials document. Keep track of all receipts. Candidates who are found to have spent more than their budget will be disqualified from the election.
* Candidacy platform: A written statement no more than 250 words (double-spaced, 12pt font, Times New Roman). Include a captioned headshot of yourself with name and class year (in square dimensions). Attach copies of the PNG photos in the email where you submit packet materials so we can post you on our website (pending confirmation of materials). Include any digital materials to supplement your platform (i.e. social media handles and website URLs)
* List of signatures for the petition: Use the attached signature form to collect signatures. Take pictures of completed sheets as backup. Signatures that are not collected on this form will not be counted. Make sure the name and class year are legible or the signature will be invalid. There are only 20 rows per sheet, so make sure when using a new sheet, you label the page number at the top to keep the signatures in order. Illegible names and class years will not be counted. For class council positions, signatures are only allowed from your class. For UA President/Vice President, signatures can be from any undergraduate student. Candidates running jointly will get signatures together with no duplicates on the sheet.
Signature Threshold
Students running for office require a minimum number of valid signatures to be considered an official candidate. The thresholds are shown below:
* UA President / Vice President (10% of school population) — 466 signatures
* 2024 Class Council (15% of class population) — 178 signatures
* 2025 Class Council (15% of class population) — 181 signatures
* 2026 Class Council (15% of class population) — 171 signatures
Additional Note
Signatures are not an avenue for campaigning. The official campaign period begins the day that voting begins as stated in the timeline attached. Read the campaigning rules in its entirety to understand what you can and cannot do. Failure to follow the rules and procedures listed will result in an invalid candidacy.
