Elizabeth, You use your SAPNET id (you might know it as the OSS id?) - if
you don't have one find out who
in your company does.  If you can't track them down, give the SAP helpdesk
in your country a call and they
should be able to tell you who has the SAPNET ids at your company.

This site requires a user id to log into.  Anywhere it can be put so that it
can be accessed by everyone?  Or will you just send it out as an attachment
to an email to the group as you did in the past?
