Dear Student Groups:
Once again we approach the opening of the CAC reservation books from 7/1/06
to 6/30/07. This annual event occurs the Monday after Thanksgiving this
year, it will be 11/28/05. CAC space includes Kresge, Student Center,
Chapel, Religious Activities Center, Lobbies 10 and 13, Walker Memorial,
Wong Auditorium in Tang, and the Barbeque Pits by Kresge.
This year is a transitional year, since in March 2005 we transitioned to a
virtual scheduling system.
Like past years, groups will come to W20-500 to make their reservation
requests. As in previous years, it will be first come, first served. You
will need to be a reservation signatory for the ASA-recognized student
group for which you want to book space. You need to know what dates you
will want, what locations, and what hours. You will need to know the
expected attendance of your event(s) and answer such questions as if you
are charging, etc. I am attaching an old form, which outlines the basic
information which the virtual system will require.
New to this year, you will need to show your ID to prove that you are the
signatory, and you will have to enter your requests into a CAC computer in
W20-500. CAC personnel will sit with you to lend assistance and help speed
up the process.
We will open at 8 am, and will continue to serve folks in person until 11
am. At 11 am, all virtual accounts will be converted to include dates
through 6/30/07.
If you do not have a virtual account, I encourage you to come to W20-500 to
establish one for your group. I am attaching the link to the student group
account application form,
http://web.mit.edu/campus-activities/www/applications/virtualappstudent.doc.
We will establish accounts on 11/28/05 if necessary, but encourage you to
do so before the 28th, so we can speed up the process on the 28th. If you
are unsure about whether or not, your group has an account, please contact
the CAC front desk at W20-500, 3-3913, campus-activities at mit.edu.
Please remember the following policies:
Each ASA-recognized student group can request up to three dates per term in
the major facilities on a Thursday, Friday, or Saturday night. Major
facilities include Kresge, Lobdell, Sala de Puerto Rico, and Morss
Hall. This does not apply to Sunday through Wednesday.
Groups cannot request consecutive weekends in major facilities.
Remember student holidays and breaks; the link to the MIT academic calendar
for 2006-2007 is http://web.mit.edu/registrar/www/wkeydate.html.
I am also attaching a link for 2006 and 2007 calendars which also lists
holidays, including religious holidays,

process and can be done as normal on the web. CAC Promotional space
includes Booths in Lobby 10, Tables in the Student Center Lobby, 3 Panels
in the Infinite Corridor, 4 Poster Positions in the Student Center, and
