This email contains a significant amount of information. It is very
important that you read the entire email and update your student group as
necessary.

1. Last Call for Early Return Requests
--------------------------------------------------------
If you need an early return through the ASA, you must submit a request by
no later than ***May 30th***. This is a firm deadline. No exceptions will
be made.
Early returns are only for students who do not have summer housing
on-campus and who have on-campus housing for the fall. The early return
allows for a student to return to campus on August 31st in order to help
set up for the Activities Midway on September 2nd. If you request an early
return, you MUST help set up for the Midway to avoid a penalty that may
otherwise face your student group.
If you have submitted an early return request, but have not received a
confirmation email, your request was not received, and you should submit
another request immediately.
To submit a request, please send an email to asa-midway at mit.edu with the
subject heading "Early Return Request" and the email address(es) of the
student(s) who are requesting the early return.

2. Activities Midway Submission Deadline

The Activities Midway will be on Friday, September 2nd.
*******The deadline for Midway requests is June 30th.*******
To submit a request, please follow these steps:
1) Go to: http://web.mit.edu/asa/www/asa-db.shtml
2) Follow the "Student Group Officer Access" link
3) In the red strip on the left side of the page, click "ASA Student Group
Officer" and then click "Select Student Group"
4) Click on the name of the group for which you are submitting a request
5) Under "Manage Resource Summary" select the "Submit Request" button for
Type "Midway"
6) Fill out the form
7) In the "Request Notes" section of the form, please answer these questions:
a. If you need more than 1 table, please explain why.
b. If you would like a performance time, when, between 4pm and
7pm, would you like to perform?
8) Click "Save" in order to submit your request.
***Your request is not complete until you SAVE.***

3. Recruitment Rules
---------------------------------
Please read and follow the Recruitment Rules for this year. The document of
these rules can be found at the following link:

Failure to adhere to these rules will incur immediate penalties against
your student group. The ASA will be strictly enforcing these rules
throughout the summer until the Activities Midway on September 2, 2005.

4. Group Registration in the Fall
------------------------------------------------
The ASA is trying out a new model for annual registrations and information
sharing. Instead of turning in your updated constitution and hazing form
at the fall GBM, we will have a table at Registration Day, at which your
group will be able to submit a signed hazing form and constitution. Your
group will also be able to drop off these forms at the Student Life
Programs Office (5th floor, W20) on any day during the week of Registration
Day (Sept. 5th - Sept. 9th). As always, these two forms are ***required***
in order for your group to maintain good standing with the ASA.
The purpose of this change is to allow groups to have a longer period of
time during which to submit their forms and to help ensure that student
groups are aware of the resources available to them (through the ASA,
various funding boards, and the SLP Office) at the beginning of the year,
such that they can be utilized throughout the fall and spring
semesters. It will also allow group leaders to check and update their
officer and signatory information at the very beginning of the year.

5. Payment for the First Year Summer Mailing
--------------------------------------------------------------------
Payment for the FYSM will be taken care of at the beginning of the Fall
2005 semester. When a representative of your group comes to either the ASA
on Registration Day or to the SLP Office during Registration Week, s/he
will fill out a FYSM Payment Form, on which s/he will write the account
number from which the ASA should draw the funds. **Either the funding
account or the main account can be used.** If your group decides to use the
group's funding account, you must indicate which category the money is
coming from on the form, which will be available at registration.
Please make sure your group has enough funds in its account to cover the
cost of the FYSM ($60.00) at the beginning of the Fall 2005 semester.
Reminder: The deadline for the submission of the third form is ***June
3rd***. This deadline is firm. No exceptions will be made. Submission of
either the first, second, or third form after June 3rd will not be
considered for inclusion in the summer mailing.
