Dear Student Group Leaders,
 
Now that we are well into the school year, the ASA Executive Board has
some important information for you regarding copyright updates, the fall
General Body Meeting, and IAP announcements.  Please read on for this
important information.

Please refer to this document for any questions that you might have.
Your group is responsible for knowing about the legal issues associated
with Copyrights.  
 
Copyright Information Session:  MIT Legal Counsel and staff from SLP
will provide updates and information about MA law and MIT policy, and
answer any questions you may have about how to show movies legally on
campus.  It will be held Tuesday, October 19 from 12-1 in PDR 1&2

2.  Fall General Body Meeting (GBM)
-------------------------------------------------------
 
The fall GBM will be Wednesday, October 27th in 10-250.
We will be electing a new Graduate Member at Large, discussing some of
our important updates, and collecting constitutions and hazing forms.
Attendance at the GBM is mandatory.

3.  IAP information
---------------------------


Planning for IAP '05 has begun.   We want MIT's student groups to be
front and center with activities for IAP 2005.  (Dates are January
3-January 28, 2005)  Here's the how-to information and important dates
and deadlines:


WHO HAS AUTHORITY TO POST (REPRESENT) FOR AN ASA GROUP:

All activities for IAP must be posted on-line at http://web.mit.edu/iap/
-- the site will be up and and ready on Monday, September 27.   Many
participants begin making their IAP plans in November and December.  To
ensure that student-led events get ample exposure, organizers are
strongly encouraged to post their activities on-line no later than
November 1.


HOW TO GET AUTHORIZED TO POST FOR IAP:

Any ASA group wishing to sponsor IAP activities must designate 1-2 IAP
Coordinators who are authorized to post that group's listings.
Each Coordinator must get authorized to post for that group through Ms.
Leslie Bottari.  Please have your Coordinator(s) send her
(iap-www at mit.edu):

*        The name of the student group
*        Each Coordinator's kerberos ID (Athena user ID)


HOW TO POST ACTIVITIES:

On or after September 27, go to http://web.mit.edu/iap/ .  Read first
instructions for "Using the posting forms."  Then go to "Post/Revise
your IAP Activity."
If your ASA group posted an activity for last IAP and you would like it
to be updated for this year, your group's coordinator will be able to
see a list of activities that may be rolled over from last year. Click
on the "select" box to view the activity, and then click on "edit" to
roll it over.

A CHANGE FOR IAP 2005:

Last February, email was sent to all IAP 2004 organizers explaining that
all general information and scheduling for IAP 2005 will be presented in
the on-line IAP Guide only; no print version will be produced.   While
this means that there will no longer be a hard deadline for submitting
activity and subject descriptions for a print guide, we will strongly
encourage Community members to post descriptions on-line no later than
the first week of November.  This ensures that all listings and subjects
receive ample exposure to students, faculty, and staff planning their
IAP schedules before leaving for the holidays.


We look forward to you group's participation in IAP, and providing you
with any assistance you might need.  If you have any questions or

4.  Booths in Stata Center
---------------------------------------
The Stata Center Student Street is now available for student tables.
Reservations for three tables will be available beginning on Monday,
October 4.  The tables will be located side-by-side immediately outside
of classroom 32-124.  The policies regulating the use of these tables
will be consistent with those for the booths in Lobby 10 including a
limit of one approved food sale and limited music.  We ask that users be
particularly sensitive to sound due to the proximity of the adjacent
classrooms.  A large wall board is located immediately behind the table
locations and can be used to attaching or hanging materials related to
your use of the table.  These tables can be scheduled through the Campus
Activities Complex (W20-500). Stop in today for more details. We look
forward to seeing you in Stata!
