We're aiming to get a beta release out around the 23rd, with the final release available shortly after (hopefully by the end of the month). This will be pretty much exclusively a bugfix release; there will be no API, configuration, or database schema changes, so upgrading from 1.4 or 1.4.1 should be relatively painless. If anyone is sitting on patches that they think would be suitable for inclusion, please upload them to SourceForge by the end of the week. See http://wiki.dspace.org/index.php/RoadMap#Version_1.4.2 for more information. cheers, Jim -- James Rutherford | Hewlett-Packard Limited registered Office: Research Engineer | Cain Road, HP Labs | Bracknell, Bristol, UK | Berks +44 117 312 7066 | RG12 1HN. james.rutherford at hp.com | Registered No: 690597 England The contents of this message and any attachments to it are confidential and may be legally privileged. (2)How to import mass data to the DSpace instead add via workflow book by book? (3)How to produce inventory reports? (4)How to customize the authorization system? Any idea is appreciated. Thank you. Best Regards, Anny RE: Use of Dspace for managing archival records Hi Ernie, >* We are investigating using DSpace as a respository for institutional *>* records. The proposed scope right now includes documents created in the *>* work of public officials, including MS Office documents, PDF files, *>* graphics, audio and video, (but not e-mail at this time). *>* *>* This seems to differ somewhat from the more common use of DSpace as an *>* IR in the sense of providing access to pre-prints, dissertations, *>* curriculum materials and other types of documents which are more *>* designed for dissemination of information. *>* *I think you are conflating file formats (e.g. Word, PDF, MP3, etc.) with genre (pre-prints, articles, datasets, movies, etc.) There are DSpaces with every conceivable type of genre and format... but maybe your point is really to distinguish content that the institution *wants to disseminate* as opposed to what they *want to manage*. Most DSpace sites (including MIT's) are intended for both. The submitters who submit get the dissemination, and the libraries manage that content for them. Some submitters chose *not* to disseminate... they just want their content managed, and the system handles that fine -- it's strictly a local policy decision which you encode in the access rights for the system. What DSpace currently lacks for true records management is scheduling... there is a little bit of code in there waiting to be finished and turned on to handle retention schedules and the like, but it isn't current functionality. We're using DSpace 1.3.2 with the TAPIR (Theses submission add-on) and we want to have a Deposit Agreement shown when a user submits an item - and an End User Licence Agreement shown at the bottom of the page(webui.licence_bundle.show) when viewing an item. However, it seems we can't easily do a "split" into a Deposit Agreement and an End User license.....as the system is probably not designed to handle the license issues as we want to do it? Looking at 1.4.1 there is only one licence file also - the one you have to Grant when you submit. This is the same text that is shown at the bottom of the page when you view a submission. The licence file is also in the bundle together with the submitted document, so it may not be easy to change this for already submitted items? Does anybody have any solutions or suggestions or work-arounds? This tutorial will cover basic-to-intermediate customizations of DSpace, while also including an introduction of Manakin (http://wiki.dspace.org/Manakin) and using Manakin's Aspects and Themes to customize it for your institution. Registration is not yet open for JCDL 2007, but the cost of the conference and tutorials is already posted on the JCDL registration page: http://www.jcdl2007.org/registration.htm Please be aware that "Making DSpace Your Own" is the ONLY tutorial being held on Monday, June 18. All other tutorials are scheduled for Tuesday, June 19. The official announcement is below. Please feel free to contact Scott Phillips (scott.a.phillips at gmail.com) or myself (tdonohue at uiuc.edu) if you have any questions. We hope to see you at JCDL! ======== Official Tutorial Announcement from http://www.jcdl2007.org/tutorials/tutorial1.htm ======== Tutorial 1: Making DSpace Your Own Monday, June 18, 9:00am - 12:30pm Starting an institutional or digital repository using DSpace software? Get control over its look and feel! Learn to modify and customize DSpace to reflect your institution's branding, and improve usability for both submitters and users. Learn about Manakin, the upcoming XML/XSLT-based interface for DSpace. Specifically we will be discussing how to use Manakin's Aspects and Themes to customize the interface for your institution. Finally, learn more about the DSpace developer community and how you can give back. Target Audience: Librarians and staff planning or running DSpace installations who want more control over the technology. Level of experience required: Introductory to intermediate-level. This tutorial assumes little or no knowledge of DSpace or Java. Familiarity with basic Unix commands, FTP, HTML, and XML highly recommended, though not required. Presenters: Tim Donohue is the Research Programmer for IDEALS (www.ideals.uiuc.edu), the institutional repository for the University of Illinois at Urbana-Champaign. He is a DSpace Committer, helping to provide patches, bug fixes and general software management to the DSpace community. Along with Dorothea Salo (Wisconsin), Tim taught the first "Making DSpace Your Own" tutorial at JCDL 2006. Scott Phillips is the Research Coordinator for the Texas Digital Library (www.tdl.org) and a developer at Texas A&M University Libraries. He is a DSpace Committer and the lead developer on the Manakin interface project. I would like to know if the use of DSpace is enforced for research institutions only, or if other institutions can use DSpace too, and what are the restrictions. As I know, the BSD license doesn't do this kind of restriction, but maybe it is a plus to the license. In my case, I work for the local government (C?mara Municipal do Rio de Janeiro - http://www.camara.rj.gov.br/), a kind of City Council, and I'm interested in using DSpace as a digital library for law projects and other internal materials. This beta is primarily a bug fix release incorporating numerous bug fixes and enhancements. Refer to the CHANGES file within the distribution for the full list of enhancements, alternatively check here: http://wiki.dspace.org/CurrentReleaseToDo The final release of 1.4.2 should be out within a week or so, and work has already started in earnest on the 1.5 release. The documentation for this release is bundled within the package. DSpace 1.4.2 beta can be downloaded from the files area at http://sourceforge.net/projects/dspace/ or with SVN from tags/dspace-1_4_2-beta. Please use the mailing lists to provide feedback on this release. Those wishing to do development work with DSpace are strongly encouraged to obtain the source code using CVS. This is very straightforward and a guide to doing this is available here: http://wiki.dspace.org/ContributionGuidelines We would also like to take this opportunity to invite you all to take part in the DSpace development process. Extra developer hands are always welcome, but there are other ways you can help: - Test the system and report bugs - Provide documentation (for end users and institutions, as well as technical) - Provide or update language packs - Share your deployment experiences - Donate content and metadata for testing and research - Share your technical experience and ideas Please visit the DSpace Wiki to see the various resources and collaboration tools available to the DSpace community: http://wiki.dspace.org/DspaceResources Regards, The DSpace Committer Group -- James Rutherford | Hewlett-Packard Limited registered Office: Research Engineer | Cain Road, HP Labs | Bracknell, Bristol, UK | Berks +44 117 312 7066 | RG12 1HN. james.rutherford at hp.com | Registered No: 690597 England The contents of this message and any attachments to it are confidential and may be legally privileged. In this case there will be no problems, because the only difference is on the line jsp.layout.footer-default.text as shown by the diff program, but I would like to know if there is a tool to update the Messages_pt_BR.properties file to a new version of DSpace, preserving the already translated messages, and adding the new untranslated messages. Maybe this tool will help me in a future version. Also, in my opinion, it would be good to add pt and pt_BR to the section of file input-forms.xml, as I did when customizing this file. Portuguese (Brazil) pt_BR Portuguese pt Thank you, Halley P.S.: Everyone I have shown DSpace in C?mara Municipal do Rio de Janeiro liked it. We have given up on faculty uploading their own items, everyone has admitted that this process simply won't happen. So it has fallen on the Library to populate our local repository and the most efficient workflow has been importing files into DSpace and then Library support staff adding the fulltext files to the records after they have been digitized. This is less time consuming and really, who wants to do data entry. This process has been very efficient for us, but I have to admit, the harvesters and search engines have not consistently found the fulltext files after they have been added. I think your idea of flagging records would facilitate the find-ability of the newly added files. It would also help if importing records into DSpace was less work, I'm hoping the Summer Google student working on importing/exporting files from Bibliographic software will facilitate this process. These informations will be used as metadata in a dublin_core.xml file to import these projects to DSpace. The problem is that the old projects are only in paper, so they must be scanned and an image uploaded to DSpace. Once we need full text search for the projects, maybe we will use an OCR software. It would be good if the OCR text could be integrated with the image (maybe using PDF) in the same file, and indexed by DSpace. I am happy to report that we are making good progress on establishing the new non-profit organization, and I would like to take this opportunity to announce that Michele Kimpton has accepted the position as Executive Director for the organization. The DSpace non-profit corporation will initially provide organizational, legal and financial support for the DSpace open source software project. Prior to joining DSpace, Michele Kimpton was one of the founding Directors at Internet Archive, in charge of Web archiving technology and services. The Internet Archive is a not-for-profit organization in California, www.archive.org. During her time at Internet Archive Michele initiated and managed several open source software projects to collect, access and preserve web pages. Michele developed an organization within Internet Archive to help support and fund open source software and web archiving programs, so she comes to us with a lot of experience in both open source software and long-term digital curation. Her organization worked primarily with National Libraries and Archives around the world, so she is familiar with large, widely diverse and distributed communities. Michele was one of the co-founders of the IIPC ( International Internet Preservation Consortium, netpreserve.org), whose mission is to work collaboratively to develop tools, standards and processes for archiving and preservation of web material. The DSpace non-profit corporation is in the final stages of completing filing status as a not-for-profit corporation of Massachusetts. By summer 2007 we expect to have this legal entity in place, and a complete Board of Directors. Both MIT and Hewlett Packard have provided the start up funding to establish the organization over the next several years. The organization will reside initially on the MIT campus. Over the next six months Michele will be talking with members of the DSpace community to help formulate the strategy for what organizational support would be helpful and needed from the DSpace organization. You can contact Michele directly at Michele at dspace.org. The goal is to be able to move metadata *into* and *out of* DSpace. The product should serve both IR managers (importing metadata en masse) and end-users (exporting metadata into a variety of programs). Stuart Lewis is my primary mentor, and I'll also be working with Claudia Jurgen and Christophe Dupriez. Speaking for myself, BibTeX import and on-the-fly export as a priority, RIS and Endnote next, though for me, both are really some distance behind BibTeX. [BTW. And this may not be news to you, but `Bibutils' does a reasonably decent job of converting between MODS, BibTeX, RIS and Endnote and back.] All of the standard BibTeX formats, brief and full, are available in the file `xampl.bib' found in the TeTeX distribution. Not many permutations really, perhaps the main trouble for importing is in mapping all the fields to the less than expressive Dublin Core. The content follows (I'm hoping that its not butchered in transmission): **** begin xampl.bib **** @preamble{ "\newcommand{\noopsort}[1]{} " # "\newcommand{\printfirst}[2]{#1} " # "\newcommand{\singleletter}[1]{#1} " # "\newcommand{\switchargs}[2]{#2#1} " } @ARTICLE{article-minimal, author = {L[eslie] A. People tend to run this periodically, for example once a night. This can be enabled via a cron job or scheduled task (unix or windows). See: http://www.dspace.org/technology/system-docs/install.html#advancedinstall > Is it possible by altering the Media Filter plugins (through PluginManager) in > the dspace.cfg file? Those settings are used to enable or disable different filters. For example, you might decide that you want to enable full text searching of PDF files, but not MS Word documents, in which case you can edit the settings. Or, you might decide to write a filter to extract text from a different file format, and you can add that there. In terms of importing citations into DSpace, I'd like to see a tool that could be configured to "crosswalk" from one format to another. For example, let's say I have citations in RIS format and I want to transform them into the DC scheme used in our local DSpace. It would be great if I could fill in the "source" and "target" fields on a grid, like this: Source Target Format Format A1 => contributor.author TI => citation.atitle JF => citation.jtitle VL => citation.volume AB => description.abstract etc. So, whatever text is in the "A1" field(s) in the RIS citation would be added to the "contributor.author" field(s) in the DSpace record. Managers would likely be using DSpace's Item Importer to import citations in batches, so it would be useful if the Portable Citations tool could format citations in the required dublin_core.xml file format (See the "Item Importer and Exporter" section of the DSpace System Documentation: http://dspace.org/technology/system-docs/application.html#itemimporter). I've put a few sample citations in the RIS format from RefWorks at the bottom of this message. I think this would be one of the most useful formats, although it would be even better if Portable Citations could transform citations directly from the database (PsycInfo, Agricola, ERIC, etc.), but I realize this would be much harder to do. I hope this helps, but please let me know if I haven't made things clear. T1 - DSpace: An open source dynamic digital repository Y1 - 2003 Y2 - January VL - 9 IS - 1 KW - DSpace AB - For the past two years the Massachusetts Institute of Technology (MIT) Libraries and Hewlett-Packard Labs have been collaborating on the development of an open source system called DSpace? that functions as a repository for the digital research and educational material produced by members of a research university or organization. Running such an institutionally-based, multidisciplinary repository is increasingly seen as a natural role for the libraries and archives of research and teaching organizations. As their constituents produce increasing amounts of original material in digital formats?much of which is never published by traditional means?the repository becomes vital to protect the significant assets of the institution and its faculty. The first part of this article describes the DSpace system including its functionality and design, and its approach to various problems in digital library and archives design. The second part discusses the implementation of DSpace at MIT, plans for federating the system, and issues of sustainability. DSpace was developed during two years' collaboration between the Hewlett-Packard Company and MIT Libraries. The development team worked closely with MIT Libraries staff and early adopter faculty members to produce a 'breadth-first' system, providing all of the basic features required by a digital repository service. As well as functioning as a live service, DSpace is intended as a base for extending repository functionality, particularly to address long-term preservation concerns. We describe the functionality of the current DSpace system, and briefly describe its technical architecture. We conclude with some remarks about the future development and operation of the DSpace system. We also had this problem and have discovered that in our case it is related to the PDF's themselves. Not all PDF's have Optical Character Recognition. If it has not been OCR'd then media filter cannot extract the text file & it will not be full text searchable. Our media filter is set up to run every night and that coupled with trying to ensure that all PDF's we upload are OCR'd has solved our problems. Ensuring OCR can be difficult as we have found out (Ex. settings for scanning straight to PDF with the OCR function does not guarantee that the text file will actually be attached to the PDF when uploaded, documents that are scanned crookedly do not OCR well & many PDF's sent to us we need to ORC ourselves) so we shoot for about 80% accuracy in our text files. I hope this relates to your problem and helps.
