> Dear Departmental UROP Coordinators, Administrative Officers and Academic Administrators,
>
> Please help us alert all those in your areas to spring term UROP changes related to the Institute’s COVID-19 response. I am also attaching FAQ, which is also being posted on MIT’s COVID-19 website <http://web.mit.edu/covid19/faq-policies-about-student-access-to-campus-facilities-and-UROPs/>.
>
> o All in-person UROPs must end on Sunday, March 15, 2020. This includes UROPs taking place in on-campus labs, at the Whitehead Institute, Broad Institute, Lincoln Lab, area hospitals, other IMES/HST/Harvard facilities, or other research settings and collaborative spaces. Only remote or virtual UROP projects that are mutually agreed upon by faculty and their UROP students may continue for the duration of the spring term (through May 31, 2020).
>
> These policy changes apply equally to all MIT, exchange, and Wellesley College students regardless of their living situations. Students with special permission to remain in campus housing and those staying locally may only UROP remotely/virtually. No on-campus/in-person UROP is allowed for the duration of the spring term.
>
> o UROP Pay: All students must be paid for approved submitted timesheets for the period February 3, 2020-March 15, 2020. Students have been instructed to submit any outstanding timesheets from this period, ASAP. Only those with faculty approval to continue UROPs remotely should submit timesheets for work beyond March 15.
>
> o UROP Credit: Unit totals can be adjusted on grade sheets at the end of term to reflect appropriate effort, or if UROPs have not yet begun in earnest, students can complete an online Drop form to remove the UROP registration.
>
> We are requiring that students complete a Spring UROP Status Update webform <https://urop.mit.edu/node/8810/> by Tuesday, March 31 to better understand which UROPs will continue remotely or will be ending. UROP staff will follow-up with faculty and DLCs to ensure that you have accurate lists of students who will continue to UROP remotely.
>
> You may be wondering about plans for summer UROP; unfortunately, we do not yet have answers on impacts beyond the current spring term. We will communicate to the UROP community as soon as additional information and guidance is available and appreciate your understanding as we navigate rapidly changing conditions.
>
> We will make every effort to provide you with up-to-date information as quickly as possible. In the meantime, please contact UROP staff at urop at mit.edu <mailto:urop at mit.edu>, with any questions or concerns.
>
> Thank you for your patience and cooperation in these extraordinary times.
>
> Sincerely,
>
