(2) Recruitment Rules Reminder

The ASA Recruitment Rules will be unchanged from last year. There will again be no recruitment moratorium, although other rules may still apply, including MIT’s harassment policies, ASA postering rules, and rules from other governing bodies such as the Panhellenic Association and Club Sports Council.

We encourage you to carefully read the full text, which is on our website at <http://web.mit.edu/asa/rules/recruitment-rules.html> which governs how student groups may recruit incoming undergraduate and graduate students.

If you have any questions about or feedback on the recruitment rules, please email <asa-exec at mit.edu<mailto:asa-exec at mit.edu>>.

----------------------------------------------------------------------------

(3) First Year Summer Mailing Reminder (due 8/16/2017<x-apple-data-detectors://13>)

FYSM is a great opportunity to reach out to the incoming freshmen and first-year grad students. Incoming students will be sent a link to all of the submitted entries before they arrive on campus to virtually explore the student groups on campus. You may still submit an entry here <https://studentgroups.mit.edu/fysm/submit/select>. Entries are due <x-apple-data-detectors://15> 8/16/2017 at 11:59PM EST<x-apple-data-detectors://15>. If you have questions or concerns about the First Year Summer Mailing, please email <asa-fysm at mit.edu<mailto:asa-fysm at mit.edu>>.

----------------------------------------------------------------------------

(4) LEF-ARCADE Fall Cycle Deadline (9/9/2017<x-apple-data-detectors://17>)

The deadline to submit applications to the Large Event Fund (LEF) and the Assisting Recurring Cultural And Diversity Events (ARCADE) fund Fall Cycle is 9/9/2017 at 11:59PM EST<x-apple-data-detectors://18>. This deadline is for events occurring between October 1, 2017 and December 31, 2017<x-apple-data-detectors://19>. The application and more information about the funds are available online: <http://web.mit.edu/asa/resources/large-events.html>.

You are encouraged to meet with someone from the Student Activities Office to discuss your application, particularly if it is for a new event or you are making substantial changes to a recurring event. You MUST meet with the Student Activities Office to discuss an event if it will involve paying a speaker or performer. You can contact Elizabeth Thompson, <erthomps at mit.edu<mailto:erthomps at mit.edu>>, and Veronica Santana, <verodea at mit.edu<mailto:verodea at mit.edu>>, about scheduling an appointment.

(5) Postering Allocations

The allocation of private bulletin boards for the current cycle has been updated, and you can view it here <http://web.mit.edu/asa/resources/bulletin-boards-2017-2018.pdf>. The current poster cycle started on 4/22/2017, and ends no earlier than 12/31/2018<x-apple-data-detectors://26>.

Because of the range of other changes the ASA is implementing this summer, we have decided to give groups who have not postered on their space until 9/13/2017<x-apple-data-detectors://27> before reallocating their bulletin board to groups on the waitlist.

Derecognized groups must remove their posters by 9/12/2017<x-apple-data-detectors://28> or risk having their posters removed by the newly assigned group’s executive board or the ASA. Posters that are removed by the ASA will be kept in the UA office for two weeks and then will be thrown away. If your student group has received a postering space, you must put up a poster by 9/13/2017<x-apple-data-detectors://29>. Again, failing to do so will result in the loss of postering space allocation.

There are some unassigned bulletin boards. If you would still like to apply for one, please fill out the waitlist application <https://docs.google.com/forms/d/e/1FAIpQLScE5PyosiUdk9g3bguholzlfMlcMCs80DwYTVZpen5_ptaZew/viewform>. We will notify you if we can assign your student group a spot.

If your group is holding onto locked glass case keys but no longer has a poster spot, you must return the keys to the ASA. If your group receives a locked glass case spot, please also contact the ASA to arrange for setup and key distribution.

Please contact <asa-postering at mit.edu<mailto:asa-postering at mit.edu>> for locked glass case keys, poster board assignment appeals, and other related questions.

(6) Message from Career Fair Directors: Career Fair Week (9/25/2017-9/30/2017<x-apple-data-detectors://32>)

The Fall Career Fair will be held on Friday September 29th<x-apple-data-detectors://33>, a student holiday.

Student groups that wish to hold recruitment activities on campus with companies during the Career Fair Week must coordinate with the Career Fair Directors at least one month in advance by emailing cf-directors at mit.edu<mailto:cf-directors at mit.edu>. A recruitment activity is an activity that strives to connect students with employers. Examples include networking sessions, panel discussions, and informational sessions.

Student groups that wish to hold professional development activities in conjunction with companies during the Career Fair Week are strongly encouraged to coordinate in the same manner with the Career Fair Directors. A professional development activity is an activity aiming to improve the personal or career skills of students such as a resume workshop, mock interview, or business etiquette class.”

----------------------------------------------------------------------------

Please feel free to email <asa-exec at mit.edu<mailto:asa-exec at mit.edu>> with any requests or questions.

Sincerely,

The ASA Executive Board
