Dear Student Group Officers,

Please take note of the following announcements:

1. First Year Summer Mailing -- due Friday, July 20
2. Temporary Bulletin Board Allocation -- due Sunday, July 15
3. Midway Date: Friday, August 31 2012
4. Summer Recruitment Rules

----------------------------------------------------------------------------

1. First Year Summer Mailing -- due July 20

The First Year Summer Mailing is a great opportunity to reach out to
the incoming freshmen and first-year grad students! Fill out your
group's entry at https://asa.mit.edu/fysm/submit/select/. Incoming
students will be sent a link to all of the submitted entries before
they arrive on campus, to virtually explore the student groups on
campus.

You should submit your group's entry before July 20. While late
entries will continue to be accepted, students will begin receiving
the mailing around then. If you have questions or concerns about the
First Year Summer Mailing, please email asa-fysm at mit.edu.

----------------------------------------------------------------------------

2. Temporary Bulletin Board Allocation -- due Sunday, July 15

The next full reallocation of ASA-allocated private postering space
will be this December. However, the ASA has a limited number of
private postering spaces currently vacant and available for temporary
summer-and-fall assignment. Groups given space will be expected to
fill it during the summer, before orientation. If your group has
members in the area and would like to raise awareness with a private
postering space, then you should apply. Applications are due on July
15 at 11:59pm.

You must be comfortable with fulfilling the following requirements
before applying:
http://web.mit.edu/asa/resources/pdf/asa_boards_responsibilities.pdf
The application itself is due Sunday, July 15th, and can be found at:
https://asa.scripts.mit.edu:444/applications/boards/boards.php

If you have any questions concerning bulletin boards, including
allocated boards, the reallocation process, or public boards, please
email asa-boards at mit.edu.

----------------------------------------------------------------------------

3. Midway Date: Friday, August 31 2012

The ASA Activities Midway will take place in the Johnson Athletics
Center on the afternoon of Friday, August 31. The form to apply for
booth space will be available by July 16, and will be due on August 1.

Please note that this year, club sports will be ineligible to apply
for a booth at the ASA Midway, as there is another Orientation event
dedicated to sports (the Athletics Gateway on Wednesday afternoon).
The Club Sports Council will have a dedicated space at the entrance to
the ASA Midway, and individual club sports should contact the CSC for
more information.

If you have questions or concerns about the Midway, please email
asa-midway at mit.edu.

----------------------------------------------------------------------------

4. Summer Recruitment Rules

The Spring/Summer recruitment rules continue to be in effect, and can
be found at http://web.mit.edu/asa/rules/recruitment-rules.html. In
particular, "new students may only be contacted if they have
previously provided their contact information (such as at the CPW
Activities Midway) or if they initiate contact with a group."

The ASA is also in the process of heavily revising the rules for the
Recruitment Moratorium leading up to the Midway. If you have comments
on the recruitment rules, or would be interested in seeing a draft,
please email asa-exec at mit.edu. We anticipate releasing revised rules
in the next couple of weeks.

----------------------------------------------------------------------------

Please feel free to email asa-exec at mit.edu with any requests,
questions, or other inquiries.

Sincerely,
The ASA Executive Board
