Pitching in a few descriptions of implemented workflows I've come across:<br><br>* <b>Adding full text after batch import of metadata</b>: Legacy metadata was imported from an older system. After archiving these as items in the repository, library staff worked on adding full-text and improving the metadata, outside of the workflow process (= by editing the items).<br>
<br>* <b>Co-Author approval before archiving</b>: Every new submission needs to be approved by co-authors that are included on the item. If they don't approve by a certain timespan, it gets approved automatically. No administrator or metadata editor in between, only co-authors from the institution, also mentioned on the publication (implementation of this workflow required customization)<br>
<br>* <b>Post-Archival validation after batch import</b>: items are automatically imported in a batch process, and made public in the repository, with a warning that the item is not (fully) validated yet. This warning disappears after all authors (that are also institution members), "validate" the automatically imported item in their My DSpace, after confirming that they are effectively co-author on the item, as well as confirming or changing the metadata. (implementation of this workflow required customization)<br>

<p>Alice, at the Smithsonian we have dovetailed the
repository work in with another project: Institution-wide research
bibliography. The Smithsonian Institution Libraries was asked to capture and
make available a list of all research publications by Smithsonian staff a few
years ago. This is for reporting purposes, PR and other reasons. Scholars are
required to enter bibliographic data of their publications into a web form
which the Libraries created but we try to pro-actively capture a lot of these
via Zotero/RefWorks and the various publisher and online database sites. </p>

<p>We have a number of electronic alerts set up on
"canned" searches of the author affiliation field or general keyword:
Smithsonian. But for those we are not able to capture automatically, the
researcher is responsible (mandated, really) to enter the data by hand.</p>
<p> </p>
<p>After it is incorporated into the Smithsonian Research
Bibliography, the library staff contact the author and ask for a digital
version of the item. If there is one available, it is saved to our DSpace
server and we export the corresponding bibliographic record. Long story short,
we then bulk upload these things to the Repository.</p>

<p>Hello,</p>

<p>I'm curious to find out how other DSpace members are
managing their workflow. We are considering not using the built-in DSpace
workflow (for various reasons I will not detail here). The thinking is that we
will batch import groups of items instead of doing one at a time.</p>
<p> </p>
<p>We have students who can write the basic metadata, and a
digital content specialist who writes the more complex metadata such as
abstract/keyword information.</p>
<p> </p>
<p>I would like to know if anyone else has a similar
situation where two or more people are writing metadata without using the
DSpace workflow - and if you are in that situation, can you describe your
workflow to me? I'm trying to figure out the best arrangement.</p>
