This meeting is mandatory! Please send a representative of your group to the meeting and remember to check-in when you arrive. Failure to send a representative to this meeting will result in group suspension. The agenda will include elections for the new ASA Executive Board, discussion if the First Year Summer Mailing, and any other relevant information that we need to communicate. The ASA has analyzed student groups' survey responses to this past year's Summer Mailing, and will present the results during the GBM. We will then open the floor up to discussions on whether this year's FYSM should be on CD, paper, or online. Please come to the GBM to express your opinion on this issue. The following positions on the ASA Exec Board are up for election: President Treasurer Secretary Undergraduate Member-at-Large (x2) Graduate Member-at-Large (x2) Student Member-at-Large If you would like to run for a position, please email asa-exec@mit.edu as soon as possible to let us know! Nominations are open until voting begins at the meeting on Monday evening. (Please note that the asa-exec list is publicly archived on the ASA website.) Being a member of the ASA Exec Board is a great way to support and interact with student groups at MIT. If anyone in your group is interested in the ASA and in making decisions that affect and improve life for student groups, bring them along. We strongly encourage students to consider running for a position. We are hosting the "Boston T Party", one of the major events of Orientation, in the Stata Center on the night Tuesday, August 29th to give undergraduate student groups a more laid back opportunity to interact with (and entertain) the incoming frosh. Keep in mind that this is not a recruiting event and neither group sign-ups nor advertisements will be permitted. However, the point is for the frosh to interact with members of your group in a friendly, non-competitive manner... and to eat free food. The concept of the event is that we will orient the frosh to important areas in the Boston metro area by clustering student groups, food and entertainment at different "T stops" located along the length of the Stata Center. As a result, we will try to cluster different groups near relevant T stops (i.e if the Gilbert & Sullivan Players wanted to perform scenes from a show, we'd likely put them at "Boylston" for the Theatre District). For all of the groups that don't fit into a relevant district of Boston, we're asking you to try to come up with a clever way to make your presence or your activity somehow relevant to the culture, food or landmarks specific to a certain T-stop or neighborhood of the Boston/Cambridge metro area. If your group is still interested in participating, but can't come up with a good idea, don't worry, we'll work you in somehow. So, to sum up, THIS IS A GREAT OPPORTUNITY TO INTERACT WITH THE INCOMING FRESHMEN AND TO GET THEM INTERESTED IN YOUR ACTIVITY in a relaxed and fun atmosphere. We'll have plenty of free food and drinks and entertainment aplenty. We'd especially like to invite some of our talented musical and acappella groups to put on a few numbers as well. We have money set aside to help fund your presence at the event! - Include whether you will need any Early Returns (these are in short supply and will be given out on a first-come, first-served basis) You do not want to miss this party, it's really going to be a blast! Subject: Important: Major Orientation Event for Your Group to Interact with the Incoming Freshmen - Please Respond

Hey Student Group Officers!

We are hosting the "Boston T Party", one of the major events of Orientation, in the Stata Center on the night Tuesday, August 29th to give undergraduate student groups a more laid back opportunity to interact with (and entertain) the incoming frosh. Keep in mind that this is not a 'rush' event and neither group sign-ups nor advertisements will be permitted.

WHAT WE NEED FROM YOU BY FRIDAY, AUGUST 18TH:
- To e-mail "T-party-organizers@mit.edu" to let us know if your group is interested in having a presence at the event (whether you have an idea or not)
In the e-mail:
- Include a T stop that you would think your group would fit well in (if applicable)
- Include your concept for a booth or activity that would showcase your activity, be relevant to the theme and hopefully be fun (if applicable)
- Include whether your group will need help in funding your activity (supplies, decorations, music, etc...) We have money set aside to help fund your presence at the event!
- Include whether you will need any Early Returns (these are in short supply and will be given out on a first-come, first-served basis)

You do not want to miss this party, it's really going to be a blast!

Yours,
Andrew Lukmann, UA President
on behalf of the T-Party Organizing Committee

This event will be similar in scale to the one being held on Tuesday, August 29 in Stata, except that the Friday night event is intended to help the frosh explore the Student Center, with at least one attraction on each level. The main attraction will be the food and the bands on the second level. We would like some involvement on your part to help make this party a success. There are two ways you can get involved: Open Offices: We are trying to establish a block party feel in which every floor of W20 will have something going on. We would like the groups with offices on the 4th floor to have open offices where freshman can come in, sit, and talk with you. We're aiming for more of a social relaxed setting where freshman can learn more about your group without the context of the Midway. Those groups without offices in W20 who wish to participate will have space in rooms 407 and 491, so please contact me (milo@mit.edu) with your needs. Performances: In La Sala we're going to set up a dinner/theater event where the freshman can eat while watching performances by groups. This would be a second chance for them to see your group perform. Please let us know ASAP if you'd like to perform, if you are also performing at the Midway, and if you have any preferences as to when you'd like to perform at this event. Please be advised that there may be limited A/V equipment available. If either of these options interests you send an e-mail to milo@mit.edu by Friday August 25. Secondly if you've already notified me of your interest, please e-mail me again. Lastly, If you do have an office in W20 please read the PS for info about moving from Johnson to W20 after the midway. While the ASA does support this event, they are not running it, so please do not email the ASA with your request to participate. ~Milo Cruise Party Committee PS: The Activities Midway is set to end at 6:30. You are welcome to stay in Johnson until 7pm if there are freshman still around. Going back to W20 we ask that you leave out the back entrance to Vassar, then go down Mass Ave to use the back entrance with ramp into the student center. The freight elevator and the west elevator (near CopyTech) will be free for your use to get back to your offices. If you have any questions please let me know. Activities Midway (Friday) 2. Recruitment Rules 3. Boston T Party Event (tonight) 4. Student Group Registration (Reg Day) **************** 1. Activities Midway **************** The map, table assignments, and performance schedule for this year's Activities Midway are now posted on the ASA website: http://web.mit.edu/asa. If you think there is an error in these documents that pertains to your group, please email asa-midway@mit.edu *immediately*. The Midway is this Friday, Sept 1st; the following is the schedule for the day in Johnson: 10am - students with ASA early returns help with general set up for the event 12pm - student groups can begin to check in and set up their group's table 4pm - 6:30pm - ACTIVITIES MIDWAY The Midway is ending a half hour earlier this year because of a student-group-based at 7pm in W20. If group needs to return to W20 after the Midway, we ask that you use the back doors to the building as much as possible so that the front doors can be used mainly by freshmen attending the 7pm event. **************** 2. Recruitment Rules **************** http://web.mit.edu/asa/rules/pdf/ASA-Recruitment_Rules_2006.pdf Please remember to abide by the recruitment rules until the start of the Midway (4pm on Friday). Action will be taken against groups that violate these rules as the document states. Please also exercise maturity and respect towards other student groups during orientation and as student group recruitment begins. ******************* 3. Boston T Party Event ******************* For those groups that are participating in this event, we would especially like to remind you to abide by the recruitment rules. Specifically, handing out flyers and collecting names, email addresses, or contact information is strictly prohibited for this event. Signs for your student group will also be provided, so please do not use or bring your own. In general, if a freshman asks, in any way, shape, or form, about how to join your student group, your response should sound very similar to "Come to the Activities Midway this Friday afternoon. You can find more details about how to join all the groups there." *Members of the ASA will be walking around at the event, and we will not hesitate to ask groups to leave if they appear to be recruiting.* This event is a great way to give incoming students more exposure to student groups before the Midway. We want this event to be successful and enjoyable, so please do not cross the line and risk being asked to leave. *********************** 4. Student Group Registration *********************** Student group registration will happen again on Registration Day. We ask that you submit a signed copy of the Hazing Form (which can be found on the ASA website) to the ASA when you register for classes. The ASA will have a table set up in Johnson on that day. This year, we would like accept constitutions electronically via a webform. The link to that webform will be sent out in an official email (like this one) in a few days. Submit a hard copy of your constitution on Reg Day with the Hazing Form *only* if there is no way for your group to attain an electronic copy. If you have any questions, please email asa-exec@mit.edu (publicly archived mailing list). If you wish your email to remain private, please email asa-president@mit.edu. In addition, each group must update the constitution URL field in their entry in the database to indicate the URL at which your group's constitution is located. If you do not have or cannot get access to an electronic copy of your constitution, please submit a hard copy when you submit the Hazing Form. Hazing Forms and constitutions can also be dropped off in the SLP Office (W20-549) until Friday, Sept. 8th. Student Group Registration is *mandatory*. We had some difficulties updating the LEF/ARCADE webpage and I needed to wait for new LEF guidelines to be posted. (The website is now updated.) The deadline to submit for events occurring between September 15th and December 31st, 2006 is next Friday, September 22nd. Again, I apologize for the short notice. The applications are available on our website at: http://web.mit.edu/asa/resources/large-events.html. Any ASA recognized group can apply. Please remember to submit *EIGHT* copies to the SLP Office in W20-549. PLEASE NOTE: In an attempt to better allocate the resources of the Large Event Fund, we are trying to shift the focus from allocating very little money to many events to now allocating more money to fewer quality events. I have updated the website listed above to provide a more in-depth explanation of these policies and to hopefully clear up previous misunderstandings surrounding previous policies. To better adhere to these new policies, the Board will be awarding a minimum of $2500 per event, or nothing at all, for this LEF funding cycle. ARCADE will not have a minimum limit. Please contact him at iap-www@mit.edu with any questions as the ASA is not as knowledgeable about this as he is. This email has complete information about IAP 2007. Please read it all the way through! Sincerely, The ASA Executive Board --- Planning for IAP '07 has begun. We want MIT's student groups to be front and center with activities for IAP 2007. (Dates are January 8 - February 2, 2007) Here's the how-to information and important dates and deadlines: *WHO HAS AUTHORITY TO POST (REPRESENT) FOR AN ASA GROUP:* All activities for IAP must be posted on-line at http://web.mit.edu/iap/ . Many participants begin making their IAP plans in November and December. To ensure that student-led events get ample exposure, organizers are strongly encouraged to post their activities on line as soon as possible. Note that MIT has not produced a print version of the IAP Guide since IAP 2004; all IAP offerings are now browsed online. *HOW TO GET AUTHORIZED TO POST FOR IAP:* Any ASA group wishing to sponsor IAP activities must designate 1-2 IAP Coordinators who are authorized to post that group's listings. Each Coordinator must get authorized to post for that group through me (Dan Chapman). Please have your Coordinator(s) send me (iap-www@mit.edu) the following information: • The name of the student group • Each Coordinator's kerberos ID (Athena user ID) *HOW TO POST ACTIVITIES:* Go to http://web.mit.edu/iap/ . Read first instructions for "Using the posting forms." Then go to "Post/Revise your IAP Activity." If your ASA group posted an activity for last IAP and you would like it to be updated for this year, your group's coordinator will be able to see a list of activities that may be rolled over from last year. Click on the "select" box to view the activity, and then click on "edit" to roll it over. *QUESTIONS/PROBLEMS WITH POSTING:* The updated posting form is easy to use. However, please contact iap-www@mit.edu for any questions or posting problems. We look forward to you group's participation in IAP, and providing you with any assistance you might need. If you have any questions or concerns, don't hesitate to contact us at iap-www@mit.edu, or x3-1668. The application is online at: http://web.mit.edu/asa/resources/large-events.html and must be turned in to the SLP office in W20-549. After soliciting feedback from some several applicants, many of you felt that knowing the amounts of the grants about 2 to 3 months in advance of your event would give you proper time to either find additional funding sources or go ahead and confirm the event with guests/speakers/performers. By being able to review the applications after Thanksgiving break, the LEF/ARCADE Board will thus be able to give groups about 10 weeks notice before the start of the Spring period, when most of your major events will occur. The following are announcements from the MIT Admissions Office to student groups regarding CPW: 1) CPW this year is April 12-15, 2007. We'd like to encourage students to stay on campus this weekend to take part in all the CPW festivities. 2) Festival booths: The CPW Festival will take place on Thursday, April 12th from 9pm-1am in Johnson. We've extended the deadline an extra 2 days - the new deadline is THIS SUNDAY (MARCH 18TH) AT MIDNIGHT, so make sure to submit your events by then. They have asked the UA Committee on Student Space Planning to do a study on the kinds of improvements groups would like to request for their offices or any other space that they use regularly. We would like to ask you directly what projects you would like the CAC to take on. Below is a link to an online web form where you can send us your top three suggested improvements. Again, this can be either for your own assigned space, or for any shared space that your group uses. Please respond ASAP, so that there is ample time for discussion. https://scripts-cert.mit.edu/~ua/surveys/?s=cac-groupspace (MIT certificates required) You should avoid listing problems that present a safety or health risk, like poor ventilation or falling ceiling tiles, as these problems should be brought up directly to the CAC at campus-activities@mit.edu, and fixed as soon as possible! Funding for these repairs is separate from the $20K the CAC wants to invest this year. Because these funds are quite limited, we obviously cannot meet everyone's needs this year. However, please join us at our discussion forum on Tuesday, March 20, if you wish to discuss the merits of any particular proposed project. It is *mandatory* for each student group to send one representative. Groups run the risk of losing their table at the Activities Fair and Midway in addition to suspension and derecognition if they fail to attend. Elections for the 2007-2008 ASA Executive Board will be held at this meeting. If you intend to run for a position, please send an email to asa-president@mit.edu with your name and what position you are running for by *Tuesday, April 10th at midnight*. At the meeting, you will be expected to make a <2-minute statement to the General Body about your qualifications for the position. The following positions are open for election: President Treasurer Secretary Undergraduate Member-at-Large (2) Graduate Member-at-Large (2) Student Member-at-Large (Nominations will reopen for all positions at Elections and close just prior to the candidates making their statements.) Additionally, since the results of our survey were inconclusive, after Elections, we will be taking a vote regarding the First Year Summer Mailing. Although it is up to the ASA Exec Board to make a final decision, we want to include student group input as much as possible. Therefore, we will be voting between mailing the CD to incoming students, giving it out in their folders during Orientation, and sending them an email with a link to the information that is on the CD (or some combination thereof). Please be sure to discuss this with your group in some capacity so that your vote at the GBM on this matter is representative. After its success last year, we have decided to host the "Boston T Party", one of the major events of Orientation, once again. This event on Stata's Student Street will take place on the evening of Tuesday, August 28th. It will be a great chance to interact with the class of 2011 and to show them how diverse and unique the MIT community truly is. For those unfamiliar with the concept, here's a brief description. The purpose of the T Party is to orient the incoming class to important areas in the Boston metro by simulating the areas in the Stata Center. Similar groups are clustered at different "T Stops" that are related to their purposes. At those stops, the groups will host a relevant activity (For example, last year we had Medlinks at Longwood Medical Center playing Operation games, and the LSC showed a few films and gave out popcorn at Boylston). The end result is a pretty cool Boston/Cambridge away from Boston/Cambridge that is fun for all freshmen and participants alike. Interested? Awesome. We're trying to structure this a little better than last year, so please keep the following in mind as you "apply." 1. This is NOT the activities midway! The purpose of this event is to entertain the freshmen, not to recruit for your group. In compliance with ASA rules, you are not permitted to you are not permitted to sign up students at this event; you must wait until the Midway. 2. Some groups may already know what T stops they'd fit well in. If you have an idea, feel free to let us know. But at the end of the day we reserve the right for final placement. 3. Participants will be selected on a first-come, first-serve basis. Since Stata is only so big, we may not be able to accept everyone if interest is high. So, here is what we need from you by August 5th. E-mail tparty2007@mit.edu to let us know if your group is interested in having a presence at the event. If so, please include: - The name and purpose of your organization; - The name of a contact person who can coordinate with us; - If applicable, a T stop that you would think would work well with your group; - Your concept for an activity that would showcase your organization, be relevant to the theme of a stop, and hopefully be fun; - Whether your group will need help in funding your activity (for supplies, decorations, music, etc...). We MAY have money set aside to help support you at the event; and - Whether you will need any Early Returns Feel free to send a message to tparty2007@mit.edu if you have any other questions. Please check in the next day or so. Everyone who requested a table received the number of tables requested. We took as many location requests into consideration as possible, though some were conflicting or impossible due to electricity requests. If your placement causes undue burden on your group, please notify us at asa-midway@mit.edu. Please note the new map arrangement for this midway. This year, E33 will be running the performance portion of the Midway, providing lighting and sound to a floor stage. If you signed up for a performance, E33 will be in contact with you. Their email is e33@mit.edu. For groups who did not apply, or who may have done so late and do not show up on the list, there are a few extra tables on a first-come, first-served basis. Please email asa-midway@mit.edu to request one though be aware that we may run out. If you signed up for a table but will now not be attending, please let us now as soon as possible so that we can give the table to another group and change the handout we will be passing out to the new students. Furthermore, the ASA has a few changes in mind for the allocation process and would like to hear groups' input and feedback in a town-hall forum format. Attendance is recommended for anyone that requested space beyond that of a locker (i.e. requested an office or a large amount of storage space) but is not required. The Town Hall meeting will be held on Wednesday, November 7th at 7:00 PM. We will announce a location once one is confirmed. If you have any questions regarding office/storage space, please do not hesitate to email us at asa-office@mit.edu.
